Setting up your studio (first-time setup checklist)
Your studio name and contact details are collected during sign up. Once you are in the app, we recommend completing the following steps before you start working with clients.
1. Add your instructors
Go to Settings → Studio → Instructors. You are already added as an instructor automatically. Add any additional instructors or staff here. Instructors are assigned to activities, so add everyone who will be teaching before you set up what you offer.
2. Set their availability
For each instructor, open Availability and set the days they work, the start and end time for each day, and any breaks.
This is what generates the slots clients can book, so it matters. Every new instructor starts on Monday to Saturday, 07:00 to 20:00 — a placeholder rather than a recommendation. Change it to what is actually true. See Setting when clients can book.
3. Set up what you offer
What you offer clients is configured in two places, both under Settings → Studio:
Group classes — sessions with a fixed schedule that several clients can join, like "Morning Flow". You set a name, duration, capacity, who can teach it, and a colour for the calendar.
Appointments — one-to-one sessions, where a client picks an available time slot. Clients see these on the Appointments tab of your booking page.
An appointment takes a few more settings:
Participants — normally 1
Duration
Buffer before and Buffer after — blocked time around the session, so nothing can be booked hard up against it. Useful for a changeover or for cleaning equipment. Both start at No buffer .
Colour — for easy identification in the calendar
Description — shown to clients on your booking page, so it is worth writing properly. This is where you say what the session actually is and who it suits.
Hybrid sessions
Hybrid is not a third thing to set up — it is a flag on an appointment. Turn it on and the session is still booked as a one-to-one, with a client choosing an available slot, but once it is confirmed it becomes visible as a class that other clients can join.
This is ideal for something like a Pilates Duet, where two clients share one Reformer machine: the first client books the slot, and the second joins the session that creates.
4. Configure your online booking page
Your client-facing booking page is live as soon as your account is created. Settings → Online booking has three things to set.
The tabs clients see:
Classes — your scheduled group classes and hybrid sessions
Appointments — one-to-one sessions
Enable one or both, depending on what you offer
Access & checkout — whether booking is open at all, whether requests need your approval, whether people who are not yet clients can book, and whether a product is required up front.
Booking rules — appointment segment length, how much notice you need before a session (Lead time), how far ahead the schedule is open (Booking horizon), and your Cancellation window.
Once configured, copy your booking page link and share it with your clients — via your website, Instagram bio, WhatsApp, or email.
5. Set up a way to be paid (optional)
To let clients buy Class Packs, Memberships and shop items from your booking page, set up one of these:
Connect Stripe for card, Apple Pay and Google Pay — see About Stripe .
Fill in your bank details in Settings → Payments → Invoice & bank transfer details so clients can pay by transfer.
Either one adds a Store tab to your booking page. Without either, you can still record sales and payments manually inside the app.
6. Add your clients
You can add clients one by one directly from your device's contacts. If you have a longer existing client list, contact us at support@bobclass.com and we will import it for you, free of charge.
You're ready
Once these steps are complete, your studio is set up and ready to use. Your booking page is live, your calendar is ready, and your clients can start booking.
