How clients book

Your clients book through Bobclass Go, which they can use either as an app on their phone or in a browser. This article covers what that looks like from their side, and what reaches you.

Signing in

Clients download Bobclass Go, or open your booking page in a browser. Either way they sign in the same way:
    They enter the email address you have on file for them in your client list.
    Bobclass emails them a one-time code.
    They enter the code and they are in.
There is no password to set or remember. What makes it work is the match between the address they type and the address on their profile — that is what links them to their bookings, their Class Pack or Membership, and their remaining credits.

Booking a class

On the Classes tab, clients browse your scheduled group classes and tap the one they want — for example Morning Flow on 1 April at 08:00. They confirm, and the request is sent to you.

Booking an appointment

On the Appointments tab, clients choose an activity, an instructor and an available time slot, in much the same way as booking a dentist.
Which slots they are offered comes from the instructor's Availability and from your Booking rules — the segment length, how much notice you require, and how far ahead the schedule is open. If clients tell you there is nothing available, start there: see  Setting when clients can book .

The settings that shape all this

Two screens under Settings → Online booking.
Access & checkout controls who can book and on what terms:
  • Enable booking — lets clients book from your booking page at all. Turn it off and the page becomes view-only.
  • Requires approval — every request comes to your Inbox for you to approve. On by default.
  • Guest mode — lets someone who is not on your client list request a first booking without signing in.
  • Require product to book — see below.
  • Waitlist — gives clients the option to join a waitlist when a class is full. Studio plan and above.

Booking as a guest

With Guest mode on, a client who is not in your list yet can send a booking request without signing in. It arrives in your  Inbox  marked New, rather than with the smiley icon that means a known client. Approving the request is what brings them into your client list.
Guests can book, and that is all. Joining a waitlist, cancelling their own booking and buying a Class Pack or Membership all need a signed-in account.
Turning Guest mode off hides the guest option in Bobclass Go entirely. Only clients already on your list can then book, and anyone new has to come to you first. That is the trade: Guest mode on is the lowest-friction way for a stranger to become a client, but it also means unknown requests — including the occasional spam one — arrive in your Inbox.

Requiring a product to book

By default a client can book whatever their credit balance, and the credit comes off later, when you check them out.
Turn on Require product to book and that changes: the client has to have a valid product at the moment they book. If they do not have one, they buy it on the spot as part of booking. The checkout is completed immediately and, for a credit-based Class Pack, the credit is deducted there and then rather than after the session.
This is the setting to use if you would rather be paid up front than chase people afterwards. Leave it off if you prefer to sort payment out in the studio.
This applies only to bookings clients make themselves. When you add a client to a session yourself, nothing changes — no product is required, and you check them out as usual. See  Attendance and checkout .
If a client cancels a booking where the credit was already taken, cancelling undoes the checkout and returns the credit. See  How clients cancel .

What happens to the request

By default every booking request needs your approval. Requests land in your Inbox, and a red badge tells you they are waiting — see  Approving and declining requests .
If you turn off Requires approval, clients who are already in your list and hold an active Class Pack or Membership are booked in instantly, without waiting for you.
One exception: a booking made against a product that is still Pending confirmation — bought by bank transfer and not yet marked Paid — always comes to your Inbox for approval, even with Requires approval turned off. See  How clients purchase .

When a class is full

Once a group class reaches capacity, signed-in clients see a Waitlist button instead of the usual booking option. When a spot opens up you are notified, and you choose who to promote — it never happens automatically. See  Waitlist management .
