Editing and cancelling sessions

Editing and cancelling sessions

You can edit a session at any time — change the time, instructor, location, or any other detail. Open the session in the calendar and edit the fields directly in Event details.

The action menu

The menu at the top right of Event details holds four actions:
  • Repeat — copy this session onto other dates, optionally carrying the enrolled clients across. See  Repeating sessions  .
  • Duplicate in parallel — create a second session in exactly the same time slot. Used when two classes run side by side, usually with different instructors. See  Creating a session  .
  • Send reminder — send a manual reminder to everyone enrolled, through your device's messaging app. See  Sending a manual reminder  .
  • Delete — cancel the session.
To move a session rather than change it, tap the blue Date and time link — see  Rescheduling a session .

Cancelling a session

Delete in the action menu cancels the session. Everyone booked into it is sent the cancellation message, provided that template is switched on in Settings → Messaging. See  Message templates .

Credits are never lost

Cancelling a session does not cost your clients credits. If credits come off at checkout — the default — the session never reached checkout. If you use Require product to book, where the credit is taken at booking, cancelling undoes the checkout and returns it.
Nothing needs adjusting by hand either way. See  Attendance and checkout .

Working on several sessions at once

Go to  Overview  and use Upcoming bookings. Filter the list down to the sessions you mean — by activity, day, instructor or date range — then select them and make the change in one go, rather than opening each one in the calendar.
From there you can change the activity, instructor, location or duration across the selected sessions, and you can add a client to all of them at once — see  Adding or removing a client across a series of sessions .
